3512 XA Utrecht (hereinafter referred to as ‘the Fundatie’) is responsible for the processing of personal data, as set out in this privacy statement.

The Fundatie van Renswoude is a foundation whose objectives include supporting young people in financing their studies if there are no options for other means of finance. For the Fundatie van Renswoude your privacy is very important. That’s why, in this privacy statement, we have described how personal data are used and processed. We do everything we can to keep your personal data completely private.

The secretary-treasurer of the Fundatie is responsible, on behalf of the board of trustees, for the privacy matters of the Fundatie. He can be reached at the following e-mail address: sr@fvru.nl.

Personal data we process

The Fundatie processes your personal data because you have submitted a request for financial support to us and because you yourself submitted the personal data to us. By doing so you give us permission to process your data.

It concerns the following personal data:

  • First and last name, date of birth, address, phone number, e-mail address, bank account number.
  • Motivation letter in which you explain what your situation is, financially as well as in terms of study planning.
  • Curriculum vitae.
  • Letter of recommendation by the student counsellor or a member of the care team of the study.
  • Overview of study progress.
  • Detailed budget.

For what purpose does the Fundatie use your personal data

The Fundatie uses your personal data for the following reasons:

  • To assess your request for financial support, to be able to check whether you meet the grant criteria set by us and to handle your request substantively and financially.
  • To make it possible to call or e-mail you, if this is necessary to carry out or work.
  • To ensure compliance with the repayment obligations of interest-free student loans, granted by the Fundatie in the past.

Automated decision-making

The Fundatie does not make decisions based on automatic processing about matters that can have (significant) consequences for people. This concerns decisions made by computer programs or systems without human intervention. There is always the intervention of someone who is part of the Stichting Fundatie van de Vrijvrouwe van Renswoude.

How long we keep personal data

The Fundatie does not store your personal data longer than is strictly necessary to realize the purposes for which your data are collected. We use the following retention periods for the categories of personal data:

  • In the case of a successful application we always keep the grant letter. All other documents and data will be destroyed no later than ten years after the application has been submitted.
  • In the case of a rejected application we always keep the rejection letter, in which name and address of the applicant as well as the reason for rejecting the application are noted. All other documents and data will be destroyed no later than one year after submitting the application.
  • We keep an administration of the interest-free loans granted by the Fundatie in the past. We administer the main amount, repayments already made and outstanding balance. The retention period of the data concerned depends on the repayment rate. After full repayment, the details of the loan will be removed from the administration and the due bill , signed by the student, is returned. A copy of the due bill remains in our historical archive.

Sharing personal data with third parties

The Fundatie only provides personal data to third parties if this is necessary for the execution of our agreement and after approval by you, or to comply with a legal obligation. For the collection of interest-free student loans granted in the past the Fundatie works together with a law firm, with which a processing agreement has been concluded.

How we secure personal data

The Fundatie takes the protection of your data seriously and takes appropriate action to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized changes. The use of cookies and/or similar techniques

The Fundatie does not use cookies and/or similar techniques.

Your rights

You have the following rights:

  • Right to access your personal data.
  • Right to correct your personal data if these are incorrect.
  • Right to delete your personal data when it is no longer necessary for the Fundatie to process them or to keep them and the right to withdraw previously granted (explicit) consent. Personal data will not be deleted during the period for which a study grant has been awarded or as long as an interest-free loan granted in the past has not yet been repaid or if there is otherwise a legitimate interest of the Fundatie to process the data or to keep them if there is a legal obligation to do so.
  • Right to restriction of processing.
  • Right to object to data-processing.
  • Right to data portability. This means that you can submit a request to us to send the personal data that we hold about you in a computer file to you or to an organization mentioned by you.

You can send a request for access, correction, deletion or data transfer of your personal data or a request to withdraw your consent or objection to the processing of your personal data to sr@fvru.nl . This is the e-mail address of the secretary-treasurer of the Fundatie.

To make sure that the request has been made by you, we ask you to send a copy of your ID with the request. Hide your citizen service number (NL: Burgerservicenummer/BSN) in this copy or use the copy ID app (government app). This to protect your privacy. We will respond to your request as soon as possible, within four weeks at the latest.

Complaints

If you have a complaint about the way we handle your personal data, you can submit your complaint by sending an e-mail to sr@fvru.nl, the secretary-treasurer of the Fundatie. Should we not be able to work it out together then you also have the right, under the privacy legislation, to subsequently file a complaint with the Autoriteit Persoonsgegevens, the DPA, Data Protection Authority.

Change of privacy statement

This privacy statement can be adjusted at any time by the Fundatie. Changes are effective from the moment that they have been published on the website of the Fundatie.
